Summary: Coordinates department project activities. Develops department resource database to facilitate management of various project activities. coordinates department scheduling of individuals, resources, and activities.
The Coordinator II will support the Market and Network Services division.
Job Responsibilities:
The Coordinator II would be providing direct administrative support to Directors and workgroup teams in the following functional 2 areas - Strategic Projects/Process Improvement and Sales and Marketing/Sales Operations and Strategy.
Job Responsibilities: Collects, maintains and reports various information for the department, such as, but not limited to: patient information, budgets, staff and employee PTO and schedules. Assists with the coordination of various department activities by distributing reports, facilitating the analysis and reporting of information. Functions as department liaison by coordinating various activities and providing customer support to internal external customers. May assist with performance evaluations; counseling functions and on-boarding of new employees. Performs duties related to the preparation, implementation and analysis of special studies and projects. Maintains office supplies and equipment. Other duties as assigned.
Additional Administrative Support Core Responsibilities:
- Monitor meeting locations to ensure travel time (meeting often include a number of physicians which adds complexity to
scheduling)
- Manage expenses and PTO tracking
- Manage ongoing data entry of key metrics (MNS & PAMC business review, Gallup employee engagement, etc…)
- Meeting support preparation (photocopying, order lunch, securing location, etc…). Taking minutes and distributing
materials
- Prepare accounts payable and legal/contract submission documentation
- Assist with maintaining project management system and reports
- Coordinating and scheduling complex meetings
- Participate in tactic execution (as time, interest and skill set allows)
- Assists Project Managers with project research and findings reporting
- Preparing training binders
- Prepare accounts payable.
Preferred administrative skills/experience:
- Microsoft Outlook, Microsoft Office 2007 applications: MSWord, Excel, Powerpoint, Visio, and Publisher.
- Proficient in coordinating local and out-of-town travel arrangements. Knowledgeable concerning Cleveland Clinic travel
policies, approved vendors, reimbursement policies, and experienced in using the Concur travel system;
- Kronos timekeeping;
- Experienced in preparing expense reports;
- Experienced in supplies ordering using the Lawson system;
- Experienced in coordinating “GoToMeeting” and other group communication tools.
- Knowledge of organization and executive leadership, including Institute, Division, Department, and Regional executives,
physician leaders, administrators, and other key employees.
Education: High School or GED.
Experience: Minimum of three years experience coordinating and assisting with management functions and special projects; proficient with spreadsheets, word processing and database software. Exceptional organizational skills and Outlook calendaring skills - highly preferred.
Licensure/Certification/Registration: None
Physical Requirements: Requires extensive sitting and manual dexterity to perform work on a PC. Typical physical demands include the ability to sit, stand or walk to other locations as needed. Visual acuity to perform computer functions.
